Getting your coffee on a guest bar
Get your coffee on a specialty bar without a wholesale contract and be paid for every gram used. Here's how drops, attribution and payment work.
01
How it works for roasters
You drop sealed bags of your coffee at a partner café. The café serves them as its guest coffee, with your roastery's name next to every cup, and pays you for every gram it uses, at the price you'd charge a café.
There's no wholesale contract, no minimum order and no equipment deal. It's consignment, so you're paid only for what's used, and the café never has to commit to a full order.
02
Registering as a roaster
Register as a roaster with your roastery's name and an email to sign in with. A phone number is optional. Only you and the BeansDrop team can see it, not the cafés.
We then email you a link to confirm that address. Open it and press Confirm my email to sign in.
Roaster accounts are paid in baht, on an invoice for each bag. Regulars are paid in café points instead, so register as a roaster even if you also drink the guest coffee.
On Account you can change your email or password, download everything we keep about you, or delete your account. Settle up with each café first, since BeansDrop stops tracking what's owed to you once it's deleted.
We email you when a café accepts or declines your bag, when a bag is ready for your invoice, when a café says it has paid you, and in the evening on days a café brews your beans, with what it now owes you. A bag ready to invoice and a café's payment also show under Notifications. You'll also hear when your account signs in on a new browser. The emails come in the language you last used the site in.
03
Preparing a drop
- As much per drop as the café asks for (it's on the café's page), in sealed bags of 200g or more. Mixing coffees is fine.
- A roast date printed on each bag, roasted 3–21 days before you drop it off.
- A recipe card for each coffee, with origin, process, tasting notes and a suggested recipe (dose, yield and time) for the brew method you prefer. The café dials in from it.
- A buy link for your shop, LINE shop, Instagram or Shopee page, so drinkers can buy a full bag from you.
04
Offering a bag to a café
Offer your bag online before you bring it in, so the café can say yes before you make the trip.
- 1Sign in and open Offers, then choose Offer a bag.
- 2Pick the café and fill in the coffee, roast date, bag size and the price per gram you'd charge a café. Add the process, tasting notes and your buy link too, since they appear with the coffee.
- 3Add 1 to 3 photos of the bag. Only that café sees them. Use the message for the café for anything else, such as your recipe.
- 4Wait for the café to approve it or decline. Its answer shows under My offers, with any message.
- 5Bring the approved bag in within 14 days. The café checks the seal and roast date and accepts it into its queue at your price.
Once a café approves a bag, it can only turn it away if the seal is broken, the roast date is outside the window it set, or it isn't the coffee it approved. If you already have the bag at the counter, the café can accept it straight away.
You can withdraw an offer until the café accepts or refuses it. If a café isn't taking drops right now, it won't appear in the list. Each café takes up to 5 open offers from you at once, waiting or approved.
Good to know
Every café page on BeansDrop has a Drop a bag here button that opens the offer with that café already picked.
05
Dropping off at the counter
At the café, open My roastery and choose Show my code. The café scans the QR code to find your account and adds your bag straight to its queue.
The code works once and lasts about two minutes. Closing it cancels it, and you can show a new one any time.
06
Following your bags
Bags shows every bag you've dropped, at every café, and where each one is.
- Queued
- Accepted and waiting for a slot.
- On bar
- Being served as the guest coffee.
- Finished
- Used up, taken off by the café, or taken off by itself 45 days after roasting.
For each bag you can see the grams used so far and what you've earned, and under Daily weigh-ins, what it lost on the café's scale each day. The café's public page shows your coffee while it's on the bar.
07
Getting paid
You're paid for every gram used, at the price you'd charge a café. That includes grams used to dial in and any grams the café sells by weight.
Each bag is paid on its own invoice once it comes off the bar. The café takes it off when it finishes the bag, used up or early, and a bag still queued or on the bar 45 days after roasting comes off by itself. If 15g or more is left, the café buys the rest at half your price or returns it. Less than that counts as used up. Returned beans are yours to collect within 14 days, or they stay with the café at no charge.
BeansDrop then works out what the café owes, the grams used at your price plus the rest if it bought it, and asks you for an invoice by email and in your notifications. The amount is fixed.
On Invoices, press Upload invoice and add your invoice number. You can press Replace invoice until the café uploads its slip. The café has 15 days to pay by bank transfer or PromptPay and uploads its slip. Once the money is in, press Upload receipt to add your receipt or tax invoice, and the bag is closed. If it hasn't arrived, press Not received and add a note, and the café uploads new proof.
Your price per gram is the whole price the café pays. If you're VAT registered, it includes the 7% VAT. Tick We're VAT registered under VAT in Settings and add your tax ID and registered name, so the café sees them on each invoice. Then set your prices with VAT in them.
- Your retail price
- ~1,000 THB (2 THB per gram)
- Example price to cafés
- ~750 THB for the bag (1.5 THB per gram)
- Cups with your name
- ~25 cups
An example 500g drop. Swap in your own prices.
08
Your name on every cup
Your roastery's name, the coffee, its process and tasting notes are shown with the guest coffee on the café's page, and on the BeansDrop home page when that café is featured. If the bag has a buy link, a buy-a-bag QR code that opens your shop sits next to it.
Cafés can also print a bar banner for your coffee with the same QR code. Drinkers who enjoy the cup can buy a full bag straight from you.
Add where you roast under "Where you roast" in Settings (paste a Google Maps link) and your roastery gets its own yellow pin on the Discovery map, beside the cafés pouring your beans.
09
Protecting your brand
- Recipe card. Your suggested dose, yield, time and tasting notes are where the café starts its dial-in, whatever method it brews with.
- Roast-date window. Bags are served 3–21 days after roasting and come off the bar by themselves 45 days after roasting.
- Opt out. If a customer drops a retail bag of your coffee and you'd rather it wasn't served this way, tell us and cafés will decline it.
10
When a bag doesn't finish
A bag still on the bar or in the queue 45 days after roasting comes off by itself. If 15g or more is left, the café buys it at half your price or returns it. If it's returned, you collect it within 14 days of the café's answer, or it stays with the café at no charge. The same goes when the café finishes your bag early. The bag's invoice covers the grams used plus the rest if the café bought it (see Getting paid). Grams already used are always paid, even if the pilot stops early.
